A key functionality for a business is being able to formally produce a quotation. A quotation is an “advise” to a customer on what the cost of the request is. A quotation is non-binding and instills no liability on either party nor does it affect inventory levels once completed; However, a quotation can be converted to a sales invoice.
Creating a quotation:
- Navigate to Sales > Quotation
- Populate the screen as follows :
- Select the customer being issued a quotation in the Customer field , A new customer can be created directly by clicking on the yellow Plus icon
- Add items to the cart by BARCODE , NAME or DESCRIPTION
- Add additional charges to the cart e.g (shipping , delivery) by clicking on MORE and then clicking on SERVICE CHARGE. You can select the specific charges from the drop down and enter charge amount(IF APPLICABLE)
- A discount can also be given by clicking on the DISCOUNT button and editing the price to the discounted price via PERCENTAGE , LINE ITEM DISCOUNT or TOTAL DISCOUNT
- Select sales rep from the drop down( IF APPLICABLE) if not , it will default to the logged in user
- Select a date promised (indicated delivery date)
- Validity- Enter amount of days/weeks or months for the validity of this quotation
3. Clicking on CHECKOUT processes and finalise the Quotation, however, clicking on SAVE allows you to save the quotation (not finalise), This can be brought back by clicking on INVOKE ORDER and finding your save quotation from the drop down after selecting the customer quotation Report. The quotation report allows you to view saved or completed quotations. Make use of the filters to tailor the search results. The quotation report offers the key functionality to convert a quotation to a sale. You will only be allowed to convert a quotation to a sale if the converting terminal belongs to the same organisation where the quotation was made. (A quotation cannot be created at one “branch” of the business and converted to a sale by another “branch”)
