Product Administration (Product creation and set up)

This section will discuss the multiple fields and facilities within POSibolt to assist you with creating your inventory correctly. If you are a new client of ours, this provides the perfect opportunity for you to refine your inventory master or build a new one in a uniform manner. A solid inventory structure provides the most efficient results, we, therefore, advise that careful attention and consideration be taken when building your Inventory master. Feel free to email us for advice regarding this at support.groworx.com.The following is an explanation of the fields available for product creation, different product types can be created here and are all contained in this section.

  1. Navigate to Administration > Product Administration
  2. Click on the Add New Button.

3. This opens the product details tab for a new product, The highlighted fields are the most commonly used fields for constructing products and are explained below the image.

No matter what types of products you sell – T-shirts, shoes, bottles of water, meat or anything else – you can manage them in Posibolt.

Adding An Item #

In the Administration, menu click on the Product Administration icon.

This is the product screen. Clicking on Search will display all the products or specify the name, bar code, description or product categories. These toolbars, that is Add, Edit, View, and Discount Schema works for a user with Product Allow Edit and Create permission.

Create A New Product #


Click on the create icon.
This page is divided into four sections
i. Product Details’ : Here you can enter the details of the product to be created

UPC:Universal Product Code is the bar code of the product.
SKU:Stock Keeping Unit, number, or code used to identify each unique product for a sale.
Product Name:The name of the product must be unique in the system.
Description:The description of the product is that printed on the receipt.
Organization:Select the organization from the drop-down.
Product Category:This is used to group items of category. For example, under the “Clothing” category, we can include caps, t-shirts, shirts.
Tax Category:Allows regrouping items with a similar tax. For example, there are some goods when sold, are exempt from tax. Therefore, it will be good to create two-tax categories at least, one that is exempt and one that has the default tax rate.
UOM:Unit of Measure, you can choose UOM from the drop-down box.
Image Upload:You can upload the image of the product.
Image Type:Posibolt offers the following image types to choose from while importing.
*POS:This image is displayed on the sales screen and other reports in small size of 90 x 68 pixels,
*Catalog:These images can be of any size. These are displayed in PDF files which generated in some reports. These can downloaded and viewed.
*Web:When selected the image is displayed on the browser page
*Video:You can also upload video to a product.
Active:Checking ‘active’ will make the product visible in the system
Consigned:When enabled means that this product is used for consigned sales or purchase
Product type:Product is divided into two types
*Item:All the goods we are purchasing or selling comes under this.
*Service:It is a Service offered to any customer or vendor. Its quantity is zero.
Bar code type:These are of three types:
*Normal:Normal bar code is added to the product
*Weighed*:When you are weighing a product, the scale will generate a bar code. This product when added to the cart, the weight of the product is determined from the last digits added to the barcode.
*Price*:Some scale weighs the product and adds price to the bar code. This product when added to the cart,the price of the product is determined from the last digits added to the bar code. The quantity is then adjusted according to the price encoded in the bar code.
Attributes Set:The drop down will display all the attribute set created from which you can choose one for the product – like color, size or serial number.
Group 1 & 2:If you would further likes to categorize a product you can add new groups. Click on Add New check-box to create new groups.

You need to first Save the Product Details and then click on the tabs to check the other settings for the product. To add prices, click on the

ii. Product Price Tab

Standard Price:Is the price with which product is sold
Limit Price:Is the discounted price.
List Price:The selling price of something as stated in a Catalog.
  • Purchase & Sale price lists that are appearing are the default price list set in the terminal. Enter the prices of the Product.
  • Click on Save

Note: If the products are created under * organization, then all organizations created under that domain will be able to view these products. This is ideal when all your organizations will be selling the same products.

  • In case you do not want this to happen, you must select the organization, from the drop down menu.

iii. Advanced Settings Tab

This tab holds the additional settings we can add for a product. Click on Edit Settings button on top right. You can see that all fields text-boxes will be displayed, as in the below page:

Non-Variable Products #

Non-variable products are products that do not vary in attributes, such as size, colour, scent, etc. basically, these are general items; Therefore this section of the article explains the foundation for product creation.

  • Product Category: Select from the drop-down the correct category that the item belongs to, If a parent category is selected, a warning message will appear but will allow you to proceed upon confirming.
  • UPC (Universal Product Code): This field is used to capture the physical item barcode, it is recommended that the barcode is physically scanned into this field using a scanner to prevent issues at the sales front.
  • SKU (Store keeping Unit): An internal field in POSibolt used for capturing item-specific codes that you may have assigned to your items internally, if there is none, simply click the auto checkbox and the system will generate one for you.
  • Product Name: Product name is an additional unique field in POSibolt, you may not have two products with the same name in POSibolt, making use of a naming structure is an excellent manner of keeping conformity throughout the business. An example of a naming structure could be :
    • Use Camelcase Always (Each Word Starts With A Capital Letter).
    • First word of the name must be the brand (e.g Eetrite).
    • Following the brand should be the exact description printed on the packaging or supplier invoice (e.g Eetrite Wine Accessory Set).
  • Description: Description can be used to describe the product more briefly, for printing purposes, or website use. Usually, when a proper naming structure is in place, we suggest that the name is simply copied into the description field.
  • Organization: Similar to the Product Category field for organisation, if an organisation is selected, this item will only be available for that organisation, however, selecting * will make the item available to all organisations.
  • Group 1 (Brand) and Group 2: POSibolt allows an item to be grouped further in to two additional groups, We have normalised that clients make use of Group 1 for capturing the product brand (Eetrite, Nike).This assists greatly with in-depth reporting.
  • Commodity Code: A field dedicated to capturing the manufacturers/supplier code for this item should it differ.
  • Tax Category: Posibolt allows for multiple tax categories which can contain multiple tax rates (This is covered in the accounting section of the knowledge base). By default, POSibolt is pre-built with Tax 15% for SA clients and standard rate 0% ( VAT Exempt items such as bread, milk etc).
  • HS Code: Harmonized System (HS) Codes are commonly used throughout the export process for goods. The Harmonized System is a standardized numerical method of classifying traded products. It is used by customs authorities around the world to identify products when assessing duties and taxes and for gathering statistics.
  • Standard Cost: This field allows you to capture the current average cost of the stock item, this is used when migrating from another system to ERP and would like to maintain the average cost at the point of time. Going forward, this cost is updated automatically by POSibolt based on the movement captured on POSibolt.
  • Image Type: POSibolt caters for three image types and allows a different image for each type, however, the web image type can be used to display across all platforms. Each image type is explained below as well as how to upload these:
    • Pos Image: This image, when selected from the ImageType drop-down, is the display image on the POSibolt web screens.
    • Catalog Image: When the catalog image type is selected, clicking on the pos image mentioned above will expand a larger screen displaying the catalog image.
    • Web Image: The Groworx POSibolt Woo Commerce plugin makes use of this image type to sync images to your web-store/website; When an image is uploaded using this image type, and the pos and catalog image type has no images assigned to them, the web image will display for these too.
  • Product Classification: This drop-down allows us to classify items for further detailing and reference. The default items in the list will define this more clearly, they are:
    • Limited Edition
    • Discontinued
    • New

Should you require additional classes, you may simply contact Groworx via the support portal requesting your additional classes and a relative member from our team will create them for you.

  • Active: POSibolt ERP does not, under any circumstances, allow for the deleting of anything once inputted, We handle this across the platform by making use of a status called Active; An active product in POSibolt can be received, sold, adjusted etc whereas an inactive product is treated as if it were deleted and therefore can only be referenced in reporting tools. Should you no longer require a certain item on your stock file, simply ensure that the on-hand quantity is 0 and, uncheck the active checkbox, and press save.
  • Consigned: Consignment is a trading method where suppliers provide a customer with stock to retail at the standard retail price, however, a royalty amount is paid to the customer for each item that is sold; This checkbox is for consignment stock received from a supplier. Sending consignment stock to a customer is handled differently on POSibolt and will be detailed in a separate article.
  • Product Type
    • Item: When a category type is an Item, by default the product will be selected as an Item product when the category is selected at the product creation screen.
    • Service: A service item is an item that can not physically move, such as labour, cleaning, etc, Selecting this will set the item by default as a service item when selecting this category at the product creation screen.
  • Barcode Type: The barcode type can be one of three and will allow for the proper reading of the barcode in the vent of using scale printed barcodes :
    • Normal – Normal EAN-13/code 128 etc barcodes.
    • Weighed – Barcodes containing the item weight embedded within it (Scale).
    • Price – Barcodes containing the item price embedded within it (Scale).
  • Saleable: When Selected, this item is allowed to be processed at any sale screen.
  • Purchaseable: When selected, this item is allowed to be processed on any purchases screen. I.E Items that are purchased but never sold.
  • WebStore Featured: When selected, this item will sync to the webstore via the Groworx Woo Commerce Plugin.
  • Sequence Number: This is used in the restaurant module to set the display priority on the screen.
  • Detailed Description: This field is used to further detail the product with information used to display on the website. Please note that when copying this from a supplier’s website or any other platform. DO NOT paste the details with the formatting. To avoid this, simply copy it to a text/notepad document (This will remove the formatting), and then copy and paste the details into POSibolt’s detailed description; You may then format as desired using the in-built formatting options that are available for this field. PRESS SAVE.
