Stock Take Maintenance (Completing the stocktake).

Further processing of stock take documents is done here, once you have completed the sheet in Stock Take (Physical Inventory), it moves into stock take maintenance into a drafted state. Once all your sheets have been completed, proceed by doing the following :

  1. Navigate to Stock > Stock Take Maintenance
  2. By default, the drafted sheets are loaded first
  3. Each sheet has a check box in the last column to the right
  1. Different functionalities can be applied to these sheets:
  • Merge: It is possible to merge two or more sheets into a single sheet,This consolidates all the values for all the items should they appear on multiple sheets. The merged sheets will still be made available for reference however they will be marked as inactive. The user can view the inactive sheets by selecting the option ‘Drafted_inactive’ from the drop down or ‘All’ which will show all the sheets.
  • Complete: Complete updates the quantity on hand for all the products in the ticked sheet to the specified value, if multiple sheets are ticked, it will update the values one sheet at a time. If a product appears in more then one of the ticked sheets, the last sheets quantity will be set as the true count, If merge was used, simply ticked the merge sheet only.
  • Stock Clear: This performs the same functionality as Complete, however for any items throughout the entire stock file that do not appear on the sheet, the quantity will be reset to 0. Stock clear has an additional set of prompts as well.
    • A pop-up will appear after using stock clear:
  • Filter by specific categories ,locators or groups to view the items not found.
  • This view will display the quantity diffirence for the items that will be cleared.
  • Pressing complete here will finalise the stock clear and complete the stock take.

5. Once completing a stock take, you will automatically be directed by to the stock take maintenance screen.

6. Use the document status filter to filter by completed and press search7. Click on the completed document to view the variance report (Diffirences after completed take).
